The build guide

How I built the AI assistant that runs my real estate business.

You commented CLAUDE, so here is the real thing. Not a list of prompts. The nine layers I built, in the order I built them, and what to do at each one.

Hi! I'm Ozzie. Your Executive Assistant.
The nine layers

Nine steps. Each one holds up the next.

Start at the bottom. Each layer sits on the one under it.

Why it works

The skill is the last thing you build, not the first.

Most agents open an AI tool, type a request and get something generic back. That is because nothing is underneath it. When I say "run CMA" and an address, the answer comes back in my voice, in my branding, from my own systems, because of the eight layers sitting under that one sentence.

1

Give it a home.

The first thing I built was one place where the assistant keeps everything about my business. One folder, one set of instructions it reads every time it starts. Without that it meets you for the first time every morning and you explain yourself all over again.

Do thisCreate one project folder for your business and one instruction file that lives in it. Everything in the next eight layers gets saved there.

2

Teach it about you.

Then I wrote down what a new assistant would need to know in their first week. Who I am, the areas I cover, who is on my team and what each person handles, the kinds of clients I work with, and the rules that never bend. Mine has a list of words it is never allowed to use about a seller's home.

Do thisAnswer four questions in writing: who you are, where you work, who you work with, and what you never want said or done in your name.

Where we do it: Lesson 2.3 "Teach it about you".

3

Build your voice.

This is the layer most people skip, and it is why their drafts sound like a template. I did not describe how I write. I had the assistant read thousands of texts I had already sent and report back what it found: how I open, how I close, the phrases I use constantly and the ones I never use. That became my voice profile, with a "never say this" list at the top.

The surprise was how wrong my own guesses were. Phrases I thought were mine barely showed up. The evidence was better than my memory.

Do thisGather your own sent messages and emails. Have the assistant pull out your patterns, then test it: ask for a reply to a real client and compare it with what you actually sent.

4

Build your brand guide.

Voice is how you sound. The brand guide is how you look. Colours, fonts, logo rules, and a finished example of each thing you send out: a report, a graphic, an email. Once it exists, every PDF and post comes back looking like yours, and you stop fixing fonts at eleven at night.

Do thisPick one document you are proud of and make it the approved template. Tell the assistant to match it every time.

5

Connect your tools.

Up to here the assistant can think and write. This layer is where it can reach your actual business: your email, your calendar, your document folders, your CRM, your listing system, your e-signature program, your social scheduler. Each connection is a new thing it can do without you copying and pasting between tabs.

Do thisConnect one tool at a time and prove it works before the next. Email and your document folders first. They unlock the most.

Where we do it: Lesson 2.4 "Connecting your tools".

6

Create the workflow for each skill.

A skill is a job you have written down once so you never explain it again. I built each one the same way: do the job with the assistant by hand, correct it as we go, then save the finished steps. Here is the pricing skill as an example.

What goes inOne address.
The stepsPull the comparables. Line them up side by side. Compare the finishes room by room. Land on a range, with stronger homes above and weaker ones below.
What comes outA branded report I can walk a client through.
Where it stopsIt waits for me. I still walk the house and adjust by hand.
Do thisChoose the one job that eats the most of your week. Run it once with the assistant, write down every step, and save it with a name you can say out loud.

Where we do it: Lesson 2.5 "Your first skill".

7

Add the approval step.

Nothing leaves my business without my eyes on it. Every skill ends the same way: it shows me the finished work and waits. Texts sit as drafts. Posts sit in a queue. Contracts sit until I have read every page. That one rule is why I can hand off so much and still sleep.

Do thisWrite it into your instructions in plain words: draft it, show me, and wait for my yes before anything is sent.
8

Write down every correction.

It gets things wrong. It will surface a lead who is only browsing, pick a weak main photo, or file a document under the wrong address. The difference is what happens next. Every time I correct it, the correction is saved to a lessons file it reads before it does that job again. The same mistake does not come back, and the system is better this month than it was last month.

Do thisKeep one lessons file per skill. Each line is three things: the date, what went wrong, and the rule to follow from now on.
9

Now one sentence runs the job.

This is the part you see in my videos. "Run CMA" and an address. "Photos are in, let's go." It looks like magic and it is the opposite. It is eight layers of plain, unglamorous setup, and then a sentence.

Where to startDo not build all nine this week. Build layers one and two, then find out which job to hand off first. That is exactly what the first Build Call is for.
